Who we are

What this notice covers

This notice covers UK Fossils Social Publishing: publishing our own content to our connected Threads account and receiving Facebook Page messages for staff attention. It supplements our shop privacy notice. Other social platforms and separately connected services have their own processing arrangements.

Our publishing connection

Authorised staff connect our business account. The integration uses account identifiers and access credentials to publish photographs, captions and other content we supply, and records publishing results to manage the queue. It is an internal business tool; customers do not sign in or connect their personal accounts.

Facebook messages

When enabled for a connected Page, the Messenger integration receives incoming message text, message identifiers, sender and receiving-Page identifiers, and timestamps. It creates a UKGE Alerts notification for staff. Where there is no text, an alert may direct staff to the original conversation. This notification workflow does not generate AI replies or submit private Messenger message text to an AI model. Facebook Page instant responses are separate.

Why we use this information

We use it to publish our business content, handle enquiries, prevent duplicate notifications and diagnose delivery problems. We rely on our legitimate interests in providing customer support and operating the internal support tool. Where information is necessary to take steps at your request before an order or fulfil a contract, that basis may apply. This notification workflow does not sell message data or create advertising profiles.

Who receives it

Make runs the workflow; Dropbox stores internal alert and publishing files. UKGE staff access alerts on company computers. Meta operates the original social services under its own policies. Provider execution records, recovery history and backups may also hold copies.

International processing

Our providers may process information outside the United Kingdom, including in the United States. Their applicable agreements describe transfer safeguards. Make describes mechanisms including standard contractual clauses; Dropbox provides international-processing information in its privacy documentation. Contact us for information about the arrangements relevant to your data.

How long we keep it

Copied private-message alerts are removed from the active UKGE Alerts store by a daily cleanup once they have been marked completed for 90 days. Unresolved alerts remain available for staff handling. Cleanup preserves records where a reply is still pending or needs attention. This does not delete messages from Meta or immediately erase provider backups, recovery copies or execution history. Publishing records and records needed to handle orders are separate.

Your rights

You may ask us to access, correct or delete personal information, restrict its use, or object to processing based on legitimate interests. Rights depend on the circumstances. You can complain to the UK Information Commissioner’s Office. You can also contact us first so we can try to resolve your concern.

How to request deletion

Email hello@ukfossils.com with the subject Social message data deletion. Give the brand/Page you contacted, your social username and approximately when you sent the message. We may ask for enough information to confirm the request concerns your own data. Do not send passwords or identity documents with your initial request.

We will assess your request and explain any information we must retain and why. This concerns copies controlled by UKGE; use Meta’s own controls for original platform content.
